Resignations Guide

This guide explains the Resignations section under the HR Operations menu. It walks you through how employees can apply for resignation and how admins can manage resignation requests โ€” including approval, decline, and tracking processes.

The Resignations module allows:

  • Employees to submit resignation requests
  • Admins to approve, decline, or accept resignations
  • HR to track notice periods and final working dates
  • Seamless documentation of voluntary exits

The interface includes:

  • Apply Resignation Form (for Users)
  • Resignation List Table (visible to Admins)

Employees can:

  • Submit a resignation request
  • Specify preferred notice period and last working date
  • Cancel a resignation request (if still pending)
  • Track the status of submitted resignations

๐Ÿ“ How to Apply for Resignationโ€‹

Click the + APPLY RESIGNATION button and fill in the form:

Required Fields:โ€‹

  • Resignation Date โ€“ Date you're submitting the resignation
  • Notice Period (days) โ€“ Standard notice period (e.g., 90 days)
  • Requested Notice Period (days) โ€“ Your preferred notice period
  • Last Working Date โ€“ Auto-calculated based on standard notice
  • Requested Last Working Date โ€“ Your preferred last day
  • Reason โ€“ State the reason for your resignation

If your resignation is still in Pending status, you can cancel it from the Resignation List section.

Admins can manage all submitted resignation requests and take appropriate actions.

Admins can:

  • View and filter all resignation records
  • Sort by name, department, or notice period

  • Export resignation data for audits or reviews

๐Ÿง  Frequently Asked Questions (FAQ)โ€‹

1. Can I withdraw my resignation after submitting it?
You can cancel your resignation if itโ€™s still in Pending status. After it's approved or processed, contact your HR team directly.
2. Is the last working day auto-calculated?
Yes, the Last Working Day is auto-calculated based on the standard notice period. You can also enter a Requested Last Working Day, but final approval lies with the Admin/HR.
3. Who can view my resignation request?
Only you and Admins can see your resignation request. Admins have access to all records; users see only their own submissions.
4. What does โ€œAcceptedโ€ mean in the resignation status?
โ€œAcceptedโ€ means your resignation has been finalized, including any date adjustments made by HR.
5. Can Admins edit resignation details?
Admins cannot edit user-submitted fields but can approve, decline, or accept the request with appropriate action comments.
6. How is the export file structured?
The CSV includes all resignation fields visible in the table, including Name, Department, Notice Periods, Dates, and Status.
7. What if I submit by mistake?
If no action has been taken yet, use the Cancel button in the Resignation List to withdraw the submission.
